Correspondence Generation Rule Summary

Lists existing correspondence generation rules and lets you create new rules. See Creating a Correspondence Generation Rule

You can also open, copy, and delete existing correspondence generation rules.

Correspondence generation rules automatically create letters or internal messages for a work item. When the rule fires is based on certain conditions, such as the value of the Status field. XTRAC sends automatically generated customer letters to a specified queue for approval or to a remote printer for printing. XTRAC sends automatically generated internal messages directly to a specified queue. See Correspondence Generation Rules.

Fields

Node: A list of nodes in your organization. If you select a node where XTRAC already stores rules of the selected rule type, XTRAC displays the existing rules on the summary window.

Seq: (Sequence) The order that XTRAC evaluates the rules in.

Active: Determines whether the rule is turned on or off. If the Active check box is checked, the rule is turned on. Otherwise, the rule is turned off.

Check the Active check box to change a rule's status, or click Check and Uncheck to change the status of selected rules.

Description: Displays the description of the rule.

Event: The event that causes XTRAC to evaluate the rule.

Condition: The conditions that cause the rule to fire.

Copy To: The list of owners that you can copy one or more selected rules to.

Buttons

Reset Filter/Sort: Becomes enabled after you have sorted or filtered the columns and the result is different from the default.

Move Up and Move Down become disabled when the records are out of sequence or all of the records are not displayed. Clicking Reset Filter/Sort returns the list to its default sequence and sort order.

Move Up: Moves the selected row up one position in the list.

If Move Up is not enabled, you might need to click Reset Filter/Sort to rearrange the rules in their default sequence order. Then, you can reorder the rule.

Move Down: Moves the selected row down one position in the list.

If Move Down is not enabled, you might need to click Reset Filter/Sort to rearrange the rules in their default sequence order. Then, you can reorder the rule.

Check: Indicates if the selected rules are Active. You can click the Active check box to select it.

Uncheck: Clears the Active check box for one or more selected rules. You can click the Active check box to clear it.

Go: Copies one or more selected rules to the selected owner.

New: Opens the applicable rule detail window so you can create a new rule of the same rule type.

Copy: Creates a new rule that is a copy of an existing one. The copy is opened in the applicable rule detail window where you can rename it.

Open: Opens the selected rule in the applicable rule detail window.

You can also double-click an item in the summary window to open it.

Delete: After you confirm that you want to delete the selected rule, XTRAC removes the rule from the applicable rule summary window.

Save: Saves the changes that you made in this window.

Close: Closes this window.

If you made changes in the window and have not yet clicked Save, a warning displays that all of your changes will be lost. Click Yes to close the window and discard any changes. Click No to return to the window so you can save any changes.
