Defines or modifies letter templates and add enclosures to the letter template. See Letter Templates.
Name: A unique name that identifies the letter template (up to 30 characters).
Do not use an asterisk (*) as part of the template name.
Marked for Delete: If unchecked, the item is active. If checked, marks the item for deletion.
XTRAC deletes the item during the nightly batch cycle after there are no dependencies. Selecting an item and clicking Delete on the summary window also marks the item for deletion. Before the delete occurs, you can uncheck this option if you change your mind.
Note: The Marked for Delete check box is available only after an item is created.
Correspondence Type: The correspondence type to which you assigned the letter template.
Note: The combination of template name and correspondence type must be unique.
Description: Additional information about the letter template (up to 60 characters).
Default Memo: A memo of up to 60 characters that XTRAC displays on the History and Correspondence tabs on the work item window when an operator submits this letter.
Update Status To: The status of the associated work item after an operator submits or approves the letter. By default, no update occurs.
This field applies to letters that are generated by operators only. If a correspondence generation rule uses this template, the status in the rule overrides this setting.
Requires Approval: The approval required for the item:
Non-Printing Template: The correspondence is not printed, but a copy is attached to the work item.
Display Filters: The subset of templates that operators can view within a correspondence type:
Enclosures: The previously generated correspondence to include with the selected correspondence.
Note: You can include up to 10 enclosures for one piece of correspondence.
Change Request ID: The ID of the request to create or modify this XTRAC record (up to 30 characters).
Memo: The reason why this XTRAC record was created or modified (up to 60 characters).
Add: Opens the Select Enclosures window where you can select one or more enclosures to associate with the letter template.
Remove: Removes one or more selected enclosures from the list of enclosures on the Letter Template Detail window.
History: Displays the history of the component, including the following details:
Edit Template: Opens Microsoft Word and lets you create or edit the text of the template.
Word saves the template in an RTF format that is supported by XTRAC. The template can include applicable data inserts and paragraph template insert codes.
Save: Saves the changes that you made in this window.
Close: Closes this window.
If you made changes in the window and have not yet clicked Save, a warning displays that all of your changes will be lost. Click Yes to close the window and discard any changes. Click No to return to the window so you can save any changes.
