XTRAC includes a repository where you can securely store important financial documents related to customer accounts. The document repository can be configured to support the following types of files:
If you have the appropriate privileges, you can do the following:
Attach documents to work items to be stored in the repository.
Note: You must also have Work access to the work item to attach a document. To use the Document Upload dialog, you must have QuickCapture security access.
You cannot attach documents to a work item if the work item is:
Use the XTRAC Viewer to open and view image documents attached to a work item.
To display a drop-down list of all the documents attached to a work item in the XTRAC Viewer, uncheck the Allow Multiple Windows checkbox on the work item's Attachments page.
Note: The XTRAC Viewer can be configured to open automatically by your FIMS or XTRAC administrator.
Note: To display PDF documents in the XTRAC Viewer requires additional server software and can be configured by your XTRAC administrator.
IMPORTANT: You are prevented from seeing any versions of an image without its annotations (including redactions) so that sensitive information is protected. If an annotated image has previous versions, when you view the image’s history using the Work Item Attachments page, you are unable to view previous versions of the image. The previous versions are presented, but the View function is only available on the latest version. When an unannotated image has previous versions, when you choose to view the image’s history using the Work Item Attachments page, you are allowed to view previous versions of the image.
Use the XTRAC Viewer to add annotations to image documents.
IMPORTANT: You are prevented from checking out an image that has been annotated so that the annotations aren't invalidated when a replacement image is checked in. The user interface does not provide a visual indication that the document cannot be checked out. You will only find that out when you try to check it out.
IMPORTANT: You cannot annotate or reorder the pages in a currently checked out image so that any changes you make aren't invalidated when the image is checked in by another user. When an image is checked out, a check mark is added to the document icon in the Search Documents, Work item Attachments, or Document/Attachment Summary views to let other operators know that the attachment is currently checked out. If you open a checked out image in the XTRAC Viewer, the Annotation toolbar and the Save, Reset, and Reorder buttons do not display.
Note: When using Documentum as the underlying document storage system, you can reorder the pages of a multi-page image, keeping all annotations in place on each page. When the reordered image is saved, the saved image is in the new page order and its annotations have stayed with their original pages. When you choose to view or save the image outside of the viewer, it is displayed or saved with its annotations on the original (though reordered) pages.
Note: TIF and TIFF files may be created with or without thumbnail images. If the file is created without thumbnail images, the actual image for each page is still available and functional; however, the pages don’t display a thumbnail version of the image.
Check out, check in, and undo checked out on document attachments.
When a document is checked out it allows the user to make modifications and changes to the document without overwriting the information in the original document. Any changes you make to the checked out copy are saved as a new version of the original document.

A document is checked in as a new version of the originally checked out document. No changes are made to the original version of the document.
Undo checked out reverses the checkout process, allowing other users to work with the document.
Note: Metadata acts like an index to reference into documents. All Metadata entries are stored as upper-case and will be displayed that way in the Attachments list or in the Edit Metadata dialog.
