Basic Search

Use this page to perform basic searches for work items.

Task

You can search for specific work item numbers, or you can search based on criteria you enter into the primary and secondary search fields.

To find a work item using Basic Search:
  1. Open a Search window using one of the following methods:
  1. Fill in the search criteria for each applicable search field.
  2. Notes:
  1. (Optional) Select the Search All Parties check box to search every party associated with the work item.
  2. (Optional) Select the Include Resolved Items check box to include resolved items in the search results.
  3. (Optional) Select the Search for Process Instances check box to include different process instances in the search results.
  4. When a business process is implemented by a split hierarchy, XTRAC returns the top-most split parent in that split hierarchy. If the entire business process is represented by a single work item, then XTRAC returns that one work item.
  1. Click the Search button or tab to the Search button and press the SPACEBAR.
  2. Note: To use the ENTER key to begin the search, make sure the Subtype field is not in focus. If it is, tab out of the field before pressing ENTER.

XTRAC initiates the search using the specified criteria. When XTRAC completes the search, the results appear. The Search Criteria page continues to display the fields involved in the search.

Fields

The following provides additional detail about each of the primary and secondary search fields.

Search criteria is not case-sensitive in fields that can use alphabetic characters. You will find all matches whether you enter mixed case (Fidelity), uppercase (FIDELITY), or lowercase (fidelity). This applies to predefined work item fields, party fields, and custom fields.

Primary Search Field Description
Work Item Number The number assigned to a specific work item. The work item number is a unique identifier XTRAC assigns to a work item when it is saved. If the specified work item number is valid, XTRAC Workbench automatically opens that work item.

Customer ID

The social security number (SSN), tax identification number (TIN), social insurance number (SIN), or some other identifying number for the customer. Depending on the selected account type, this field may be required. The location (node) of the work item can predetermine the format.

Account Number

The customer's account number. The field allows up to 18 alphanumeric characters. The Account Type field can determine whether this field is required.

Last Name The customer's last name up to 25 characters.
Organization The customer's organization name up to 60 characters. XTRAC searches the ORIG party information.
Start Date

The start date is a range of dates to be included in the search.

Click the calendar icon next to the field to select a date, or enter the date manually in the MM/DD/YYYY format.

Note: XTRAC honors your computer's regional setting to interpret whether you are entering the month (MM/DD/YYYY) or day (DD/MM/YYYY) first. Firefox does not automatically honor regional settings. If you use Firefox, you may need to download and install an add-on that will allow you to switch regional settings.

You cannot search by a Start Date without an End Date. You cannot search by an End Date that occurs sooner than the Start Date.

Item Type

The item type of the work item you want to find. You can narrow your search by specifying the work item subtype.

XTRAC Workbench displays all the item types available at all the nodes in your work and view access groups in the applicable drop-down lists.

You can move through the list by typing the letters of the applicable value. XTRAC displays the first value that starts with the first letter. As you continue entering the value, XTRAC continues to move through the list.

Secondary Search Field

Description

First Name

The customer's first name. This field is enabled only if you enter a name in the Last Name field. You can enter up to 15 characters in this field.

Subtype

The subtype associated with the item type you want to search. This field is enable only if you enter a value in the Item Type field.

XTRAC Workbench displays all the subtypes available at all the nodes in your work and view access groups in the applicable drop-down lists.

Note: The list of subtypes is not filtered by the selected item type. You must, therefore, be aware of valid item type and subtype combinations so you can avoid selecting an invalid combination.

You can move through the list by typing the letters of the applicable value. XTRAC displays the first value that starts with the first letter. As you continue entering the value, XTRAC continues to move through the list.

Checkboxes

Search all parties: When selected, the following party fields are also included in the search results:

Note: By default, the search only includes the ORIG party fields.

Include resolved items: When selected, resolved work items are included in the search results.

Note: When you select or clear this option, XTRAC retains the preference until it is changed again.

Search for process instances: Includes process instances in the search results. When a business process is implemented by a split hierarchy, XTRAC returns the top-most split parent in that split hierarchy. If the entire business process is represented by a single work item, then XTRAC returns that one work item.

Buttons

Button Description
Clears all the search criteria you have entered since opening this window.
Initiates the search using the specified criteria. When XTRAC completes the search, the results are displayed. Search Criteria displays the fields involved in the search.
