Correspondence Generation Rule Detail (Condition Tab)

Specifies the conditions that must match before a correspondence generation rule fires. Conditions include a trigger event (a point where conditions are evaluated) and one or more condition rules (when a work item field matches the criteria). See Correspondence Generation Rules.

Note: Correspondence generation rules automatically create letters or internal messages for a work item based on specified conditions. For example, the value of a Status field.

Fields

Description: A description of the correspondence generation rule (up to 60 characters).

Owner: The node that the rule is associated with.

Event: The type of event that triggers this rule:

Event Evaluation

AC After Create

When a new work item is created.

AR After Received

After a work item arrives at a queue.

AU After Update

When a work item is updated.

BA Batch

During the nightly batch cycle. XTRAC's nightly batch runs at 12:00 (midnight) in the server's time zone. This time cannot be changed.

RS Resolution

When a work item is resolved.

Default Rule: The rule that always fires when the trigger event occurs.

For example, if event is set to AC and the rule is the default rule, that rule runs every time a work item is created if no other correspondence generation rules apply.

Note: You cannot define a default rule based on a Batch trigger event. If BA is selected, the default rule option is unavailable.

Fields: A list of predefined and custom fields that are available for the rule conditions.

The fields that you select are the work item fields that must match the conditions for the rule to fire. XTRAC determines the criteria that is available for a custom field based on the data type of the field. For details, see Custom Fields.

Condition Details: The criteria and value for the selected field.

XTRAC adds this condition to the AND/OR tree in the Conditions column.

Criteria: The criteria that must match. Click the drop-down arrow to see a list of possible criteria.

The list of available criteria changes to match the data type of the selected field. See Predefined Fields and Available Criteria.

Value: A value that the criteria is applied to. Click the drop-down arrow to choose any pre-defined values or type a value into the box.

XTRAC supports values that are specific to the selected field. For example, if you choose the Queue field, the Value field becomes a drop-down list box of the available queues. If you select AccountNo, you must type an account number in the field.

Conditions: The criteria and values that must evaluate as true for the rule to fire.

You can combine any number of expressions to build the rule condition. XTRAC lets you link the expressions together with AND and OR operators. Right-click a condition, and then select the operator that you want to use. You also can drag and drop fields in the tree to group expressions.

You can choose from a list of standard criteria. XTRAC also lets you use the following criteria with some fields:

Criteria Meaning

IN

is a member of the specified list

NOT IN

is not a member of the specified list

You can also choose a value for the criteria, either from the drop-down list box or by typing a value directly into the field.

Note: The list of criteria and values that are in the drop-down list boxs depend on the data type of the selected field. For example, if you select the Operator field, the Value field is a drop-down list box with a list of defined operators. If you select the AccountNo field, you must type a number in the value field that matches an account number.

Change Request ID: The ID of the request to create or modify this XTRAC record (up to 30 characters).

Memo: The reason why this XTRAC record was created or modified (up to 60 characters).

Buttons

Add: Displays the Condition Detail window where you can enter criteria and a value for the selected field.

Remove: Removes the selected field from the Conditions tree.

Clear: Removes all fields from the Conditions tree.

History: Displays the history of the component, including the following details:

Save: Saves the changes that you made in this window.

Close: Closes this window.

If you made changes in the window and have not yet clicked Save, a warning displays that all of your changes will be lost. Click Yes to close the window and discard any changes. Click No to return to the window so you can save any changes.
