The Search Documents feature allows you to search for and retrieve specific documents that are stored in the document repository or attached to a work item.
IMPORTANT: Searches performed from the Search Criteria tab are case-sensitive. If you are not getting the results you expect, make sure you are spelling correctly or use the Full Text Search tab. Searches performed from the Full Text Search tab are not case-sensitive and will return more results.
You can access the Search Documents page by doing one of the following:
You can search for an existing document based on the search criteria defined in the Admin Metadata Field Selection Rules with an SC (Search Criteria) event type.
Each Search Documents window includes three tabs:
This tab lets you enter specific criteria for the search, including:
Note: Search Criteria field values left blank do not equal null. Blank values indicate the corresponding field will not be included or evaluated in the search.
Each search criterion includes a drop-down list that includes additional search criteria to allow you to refine your search – depending on the field, the search criteria options include:
The Search Criteria tab includes options you can use to find specific documents.
When both options are selected, XTRAC searches for all documents and attachments that meet the criteria you entered in the search criteria text boxes.
Text entered into the search criteria fields are case sensitive.
You can initiate more than one document search at a time. Each search becomes its own window in XTRAC Workbench. Each time you initiate a search, the number on the Search Documents window is increased by one (for example, Search Documents 1, Search Documents 2, and so on).
This tab lets you search for specific key words and phrases in documents and annotations that reside on the document. All documents that include the word or phrase you type in the Enter Text field will be returned on the Search Results tab.
The Search Criteria tab includes options you can use to find specific documents.
Note: This option is available only on the Full Text Search tab.
When all three options are selected, XTRAC searches for all documents, attachments, and annotations placed on documents that match the word or phrase you typed in the Enter Text field.
Note: Text entered into the Enter Text field is not case sensitive.
This tab is displayed only after a search is performed. If the search finds documents that match your criteria, the documents are listed on this tab. You can double-click any row in the results list to open the corresponding document.
The Search Results list displays columns which are predefined in the system.
