Split Work Items

Work items can be split at any point in the workflow so that you and other operators can perform work on the same work request at the same time.

When splitting work items:

  • You must have the appropriate security privileges.
  • You must have work access to the work item you want to split.
  • Your current working node must use an appropriate split rule defined by the XTRAC administrator.

To split a work item:

1.   Open the work item you want to split.
2.   At the top right-hand corner of the page, click to activate and drop-down menu.
3.   From the drop-down menu, select .
4.   Select an item type and subtype.

Note: You can change the item type and subtype on the split child if they are not protected by the work item rule.

5.   Click Split Work Item.

The work item opens in the Split Work Item page and XTRAC inserts the parent data into the new Split Child work item.

6.   On the Split Work Item page, modify the work item's fields as needed.
7.   Click Save.

Split Rules

When a work item is split, the following rules apply:

  • XTRAC creates each child at the current queue or the child is transferred to a queue specified in a transfer rule.
  • The parent and children contain references to each other. XTRAC creates the link between each parent and child. You also can link children to each other.
  • The work history of each parent and child displays a SplitLink event.
  • A SplitLink event in the work history of a parent work item may be expanded to display the history of each of its children.
  • By default, XTRAC supports up to three levels of split children and up to twenty children at each level. Your XTRAC administrator can customize these numbers to meet the needs of your business unit.

When a work item is split, the work item attachments on the parent will also be attached to the child work item. This allows others working on the project to have easy access to the attachment.

When adding an attachment to a member of an existing split family, the user has the option to add the attachment to the current work item, or to all family members by selecting the ‘Attach to all family members’ check box on the first page of the Add Attachment wizard.

The document is attached to the other family work items regardless of whether they are locked or if you have access to them. The attachment is NOT attached to resolved work items, even if the user selects the ‘Attach to all family members’ check box on the first page of the Add Attachment wizard.

Workflow Rules and Splitting

When you split a work item, XTRAC does not invoke any rules that would update or move the work item. For example, if the XTRAC administrator set up a rule to transfer a work item of a specified item type to a designated queue when you save the work item, the transfer rule does not move the work item to the designated queue if you split the work item.
